SELECT TEAM COACH / MANAGER CHECKLIST
2006/2007

  1. Player commitment: Contact all players about tryout results. Inform those making the team that you'll need commitment by June 26th.
  2. Team commitment: Required by GVSA no later than ___________, along with fees to GVSA.
  3. Manager and assistant coaches: A parent is needed to be the team manager, and at least one other parent needed as assistant coach.
  4. Parent representative: Appoint a parent who will act as a liaison between the team and the Sailor Soccer Board.
  5. Coaches meeting: Scheduled about 6 weeks prior to the beginning of each season. All head coaches are to attend. You will be contacted about the time, date and place.
  6. "E" license: Head coaches are to obtain an "E" license during the first year of coaching select. Upon completion of any licensing course, the club will reimburse 50% of the course fee over the course of 2 years of commitment to the club; 25% after the first year, and the remaining 25% after the 2nd year. The treasurer needs the receipt and a copy of the license.
  7. Risk management cards: ALL members of the coaching staff, including the manager, are to get risk management cards. Go to http://www.msysa.net/programs/riskmanage.html , and complete the process online. Same for renewing your current risk management card.
  8. Final team rosters: Managers are to submit the completed roster in duplicate [One copy to GVSA, one copy for the club records] to Toni Cook (755-1945) by ________ (fall season) and by ______________ (spring season). Form available via http://www.westmichigansoccer.com/GVSApdf/Roster.pdf .
  9. Player registration: The following are needed for each player. Plan to have a team meeting so that all of the following paperwork can be completed in a few hours.
    • "Individual Player/Coach" form: Completed and signed by parent and player. Go to http://www.westmichigansoccer.com/GVSApdf/Individual%20Registration.pdf . Returning coaches and players will have computer printouts provided from GVSA. The manager will receive the resultant player cards about 2 weeks before the first game of the season.
    • Photo: A 1-inch x 1-inch head shot with player's name on the backside (for all players and coaches).
    • Birth certificate: Copy needed for all new players.
    • MSYSA Medical Release Form: Completed form must be notarized. Go to http://www.msysa.net/NewForms/MedicalRelease.PDF.
    • Payment [checks made payable to "Sailor Soccer Club":
      • $105 per player for the fall seaon, $95 for the spring season.
      • Additional players in the family: $80 per sibling for the fall, $70 / sibling for the spring.
  10. Manager's team notebook:
    • The medical release forms.
    • Spare copies of official roster
    • A copy of the current GVSA game rules
    • Copies of coaches' and manager's risk management cards.
    • D ring with player & coach cards, etc. that MUST accompany the team at all games. Upon receiving the GVSA stamped cards with attached photos, have the players/coaches sign the cards, and have the cards laminated.
    • Game Cards, issued by GVSA: 8 bright gold 8 ½ x 11" official game sheets to be given to the center referee of the specified game.
    • A copy of your team's game schedule and a copy of the Sailor field schedules
    • Pertinent tournament paperwork and information.
    • Referee money: The treasurer will give you a check with the exact amount of money needed to pay the officials for your 4 home games. The check needs to be cashed in the exact denominations of bills needed for referee payments.
  11. New Uniforms: New uniforms have been chosen. Players are responsible for purchasing. The 2006-2007 U14 and older teams are not required to purchase uniforms unless, as a team, they choose to do so. Just-For-Kicks on Grand Haven Road will provide the uniforms for purchase.
  12. Tournaments: Check www.msysa.net early summer and early in January for fall and spring tournaments, respectively. The club registrar needs to know the tournament dates when rosters are sent to GVSA so that game schedules will be worked around those times. Additional need to know: Any other scheduling conflicts such as religious holidays, etc.
  13. Tournament costs: Inform parents/players at the registration team meeting of the chosen tournament dates. Most tournament fees for a team are $335-$450, give or take. It is wise to collect payment from the parents/players when you do all of the other paperwork. Players should expect an additional $20 or so as his/her part of the tournament fee.
  14. Overnight accommodation costs: Depending on the location of the tournament, the families need to anticipate additional motel costs, etc. There are excellent tournaments scheduled in the Western Michigan communities and can eliminate this financial problem.
  15. GVSA season games: Home games for the Sailor teams should be played on Saturdays or Sundays. Games are NOT to scheduled on a weekday. Field space for practices is at a premium. A game scheduled on a weekday infringes on the practice times of many teams. When a game must be re-scheduled and a weekday becomes a last resort; Fridays only.

The club registrar will keep managers informed of league deadlines, etc. The board relies heavily on email correspondence. Don't procrastinate with deadlines. We are relying on you to handle your team's paperwork. The board must oversee the paperwork of 10-14 select teams and over 40 rec. teams.
